What is a statement of account?
A statement of account is a summary of one client’s account over a period. It starts with the balance they owed at the beginning, lists every invoice you issued and every payment and credit you received, and ends with what they owe now. An invoice asks for payment for one job; a statement shows the whole position, so clients with several invoices, and their bookkeepers, can settle in one go.
It is not a tax invoice, SARS does not prescribe its layout, and it cannot be used to claim input VAT. For a worked example and the difference from a SARS statement of account, read our guide to statements of account in South Africa.
What a statement of account must show
A clear statement lets the client check every line against their own records. The generator covers each of these:

- The statement period, from and to, and the date the closing balance is as at
- The opening balance brought forward from before the period
- Every invoice issued in the period, with its date, number and amount
- Every payment received and every credit note issued, with dates and references

- An ageing summary: current, 30, 60 and 90 days and older
- Your banking details so the client can settle by EFT

When to send a statement of account
At month end. Most South African businesses pay suppliers in a monthly run. A statement that arrives just before it gives the accounts team one document to pay from instead of several invoices.
When more than one invoice is overdue. One statement showing the total and how old each amount is gets more attention than a string of separate reminders.
At the end of a project. A closing statement confirms the account is settled, or shows exactly what is still open.
When a client or their bookkeeper asks. Larger clients reconcile supplier accounts every month and will request one.
